Included:
Your tabletop exhibit includes a table, tablecloth, two chairs, (TXD Member Exhibitors receive, additionally, one half-price conference registration), and a company/organization listing on the TXD website. Sponsor packages may provide different registration benefits. Confirm your package with TXD before registering additional representatives.
Display footprint: 10 x 10. Provided table size and tablecloth: 6' 18". We will determine booth assignments and signage in advance. We do our best to keep competing industries from being side by side, but please do not ask staff to move you upon arrival. Please keep displays and activities within your assigned space and keep aisles accessible. Bring your own branded display materials.
Move-in and setup
Scheduled load-in: Sunday, November 1, noon–5 p.m. Check in with TXD at registration before setting up. Find your assigned space and attend the Route 66 Passport tutorial at 5 pm. For earlier access, oversized displays, or exterior pop-ups, contact Tania in advance; availability must be confirmed.
Unloading entrance and vehicle instructions: TBD. Parking location, rates, and validation: Street parking is free, first come, first served, and Validated Parking: $12/day / Valet: $25/day
Shipping materials to the conference:
Please contact TXD before shipping so we can confirm hotel receiving instructions and any handling charges. Do not ship using last year’s Waco address.
Electricity, Wi-Fi, and special needs:
The exhibitor package lists free electricity for TXD members and a $75 electricity add-on. However, if you did not specify you needed to have electricity (Members or Non-Members) you will not have it available. You must tell us and pay for the add-on before hand if you need it.
Wi-Fi access:
This will be provided at no additional charge.
Logos, website links, and exhibitor profiles:
Please send the following to tania@texasdowntown.org by Oct. 16th (or you will not be included in the listings), using the subject “2026 Exhibitor Materials — [Organization Name].”
Digital logo: clear PNG with a transparent background preferred.
Print logo: vector artwork (SVG, EPS, or vector PDF) preferred; otherwise, a high-resolution image suitable for its in tended print size.
Exact destination URL: the full https:// address your logo and exhibitor listing should link to.
Listing Info:
Organization name as it should appear, a brief description of your downtown-related products or services, and a public-facing contact name/email.
Names and emails of attending booth representatives, plus the primary onsite contact and mobile number for logistics.
If you already submitted materials, please confirm that we have the current logo and preferred URL. Flag any corrections to your existing listing.
Glue Up conference app:
This year’s conference app is Glue Up. TXD will provide information about your exhibitor listing. Please review your organization’s logo, website link, description, and public contact details so attendees can learn about you before arriving.
Attendee bags and booth engagement:
Attendee-bag inclusion depends on your purchased package or separate TXD approval. Before sending items, confirm eligibility, quantity, delivery deadline, and drop-off location with TXD. Bag-item details. ***TXD will have an office in the Pre-function Hallway, if you need us.
Successful Event Tips:
Consider a short demonstration, make-and-take activity, challenge board, or useful giveaway tied to your work. Keep activities easy to join and welcoming to people with different abilities. Bring materials/give aways, take aways, etc. for the Route 66 Passport activity.
Silent Auction and Anice Read Fund: (Optional)
Help strengthen downtowns across Texas by contributing an item, experience, or service to the Anice Read Fund Silent Auction, or by making a monetary gift. The fund supports downtown-related projects, professional development, and program development in TXD member communities.

Move-out:
Proposed move-out: Wednesday, November 4, noon–2 p.m. Pack after the exhibit hall closes, remove all materials, and leave your area clean. Anice Read Silent Auction (Pre-Gala Event) will be staging as you are exiting.
Overnight storage/security: The hotel is monitored; however, we recommend that you take valuables with you when leaving your booth.
